Privacy Policy

This describes what TakeStock Software LLC collects when you use TakeStock, why, and who else touches it. The short version: we collect what the service needs to work, we do not sell it, and we do not use your herd records for anything other than showing them back to you.

What we collect

• Account details. Your email address. If you sign in with Google, we receive your email and basic profile from Google — we never see your Google password.
• Farm records you enter. Animals, weights, costs, buyers and their contact details, notes, group names, photos, and your farm name.
• Payment details you choose to display. Venmo, PayPal or Cash App handles you enter for printing on invoices. These are shown to your buyers as you typed them; no money moves through us.
• Billing records. Subscription status and renewal dates. Card numbers are handled by Stripe and never reach our servers.
• Buyer inquiries. If someone contacts you through your storefront, we store the name, email, phone and message they submit, so you can read it later.
• Anti-abuse data. To rate-limit the public inquiry form we store a keyed hash of the sender's IP address — never the address itself — and prune those records as new ones are written.

We do not run advertising trackers or third-party analytics on the app, and we do not build a profile of you for marketing.

How your data is kept separate

Every record is tagged with your farm and protected by database-level row security, so one farm's queries cannot return another farm's rows — the isolation is enforced by the database itself, not only by application code. Animal photos live in a private bucket and are served through short-lived signed links rather than public URLs.

What becomes public — and only if you choose

Your storefront is off by default. When you turn it on, the page at your chosen address shows only animals you have marked ready to sell, and only species, breed, sex, weight, asking price, description and one photo, alongside your farm name and blurb. Costs, notes, buyer lists, financials and contact details are never published. Turning it off makes the page return “not found” again.

Who else processes it

We use a small number of providers to run the service. Each handles only what it needs:

• Supabase — database, sign-in and file storage.
• Vercel — application hosting.
• Stripe — subscription payments and card handling.
• Resend — sending transactional email, such as inquiry notifications and password resets.
• Cloudflare Turnstile — blocking bots on the public inquiry form.
• Google — only if you choose to sign in with a Google account.

We do not sell your data or share it with anyone else, except where we are legally required to, or where it is necessary to protect the service or someone's safety.

How long we keep it

Your records stay for as long as your account exists, including after a subscription lapses — the account becomes read-only rather than being emptied. Inquiry rate-limit hashes are short-lived. When you ask us to delete your account, we remove your farm's records and photos; backups age out on their own cycle shortly afterwards.

Your choices

• Export. Download your whole dataset as JSON from the account page, at any time.
• Correct. Every record is editable in the app while your subscription is active.
• Delete. Email contact@takestock.farm to have your account and records deleted.
• Ask. Email contact@takestock.farm with any question about what we hold on you.

Depending on where you live you may have additional rights over your personal data, such as access, correction, deletion or portability. Write to us and we will honour them.

Buyer information you enter

When you record a buyer's name, phone or email, you are entering someone else's personal information. We process it only to show it back to you and to print the invoices you send. You are responsible for having a legitimate reason to hold it.

Children

TakeStock is a business tool and is not directed at children.

Changes

If this policy changes materially, we will update the date at the top and notify account holders by email.
